Virtuvent Platform’s entrance into the market is a milestone for the event technology industry.
This month marked the official launch of Virtuvent Platform’s first applications: File Distribution and Speaker Presentation Management. The technology was used by speakers and attendees at the International Academy of Pathology (IAP) Congress hosted at the ICC in Cape Town, South Africa. The product is a SaaS event technology solution that sits on the backbone of our platform’s proprietary HybridCloud technology. Virtuvent HybridCloud enables large venues and emerging markets to take full advantage of platform applications by severing dependence on high-bandwidth on-site internet connections – a common issue for large-scale events.
Virtuvent worked in close collaboration with Conferences Et Al and Imfunzelelo, both prominent PCO’s based in Cape Town, throughout the product development process. The result is a product designed for the user, by users in industry. Speaker Presentation Management and File Distribution provide delegates and event organizers with what matters most; a seamless, reliable service that simplifies the logistic difficulties associated with file distribution at scale.

Virtuvent simplifies the complexities of managing dozens to hundreds of speakers and their presentations. The Speaker Presentation Management (SPM) application allows event organizers to both manage the development process of presentations pre-event, as well as ensure that presentations arrive at the right venue on time, every time. The SPM app provides robust functionality within the framework of a simple, intuitive interface, enabling users to focus on the important aspects of their event instead of spending time learning how to use a new platform.
Virtuvent’s File Distribution app takes all that great content submitted by speakers, and distributes it to event delegates via their computer, tablet or mobile devices. Event organizers can brand delegate-facing interfaces with event or sponsor logos and manage which delegates can access files from various event sessions, all from a central dashboard within Virtuvent Platform.
IAP Case Study
The International Academy of Pathology had a logistics problem – medical presentations and synopses from over 400 speakers spanning approximately 32 conference topics ‘tracks’, needed to be distributed to 1700 attending delegates during a five-day event. Additionally, each delegate required unique access since 50% of the conference sessions were consolidated into a single purchasable package. The remaining 50% of sessions were purchased individually. Apart from a complex set of logistics, IAP needed a solution that did not depend upon internet bandwidth inside the venue. This was due to the large size of each file download and the number of delegates that would require simultaneous access.
Virtuvent Platform made managing 35GB of presentation uploads and complex delegate logistics simple – with fast, scalable user management and a seamless integration with the online / on-site registration system. Enabling the File Distribution app on Virtuvent Platform helped by grouping these files into deliverable packets for each individual delegate based on which sessions they paid for.
Over 25 dedicated terminals were placed across the convention center, each with direct access to Virtuvent HybridCloud. With real-time fully synchronized on-site and cloud servers, delegates were able to download gigabytes of presentation files in just seconds onto any device. When delegates returned home after the week-long conference, they could continue to have access to these same files for up to 6 months after the event.
